Chargebee Alternatives for SaaS Companies on Xero
Chargebee works well for the companies it's built for. If you're on Xero, you're probably not one of them. Here are the alternatives worth considering.
Most people on Xero who go looking for Chargebee alternatives have hit one of the same walls. Either the pricing stopped making sense as their billing volume grew, or the setup turned out to be more involved than expected, or they realised that having their invoicing live inside Chargebee rather than Xero was creating accounting friction they hadn't anticipated.
All three are legitimate reasons to look elsewhere. This post is written specifically for SaaS companies on Xero, which is the segment where Chargebee tends to be the poorest fit.
Why Chargebee doesn't always fit
Chargebee's pricing model compounds as you grow. The Starter plan is free up to $250K USD of cumulative billing, then 0.75% on everything above that. At $30K/month in billing, that's roughly $225/month in fees on top of whatever else you're paying. The Growth plan removes the percentage but replaces it with a hefty flat annual fee and a billing volume cap. Enterprise pricing requires a conversation before you know what you'll pay.
The platform is also feature-rich in ways that take time to realise. Mapping your pricing logic, configuring products, handling tax settings, and managing the Xero integration all require effort upfront. For a company with a dedicated finance or ops team, that's a manageable cost. For a small SaaS team, it's time spent on infrastructure rather than the product.
The third issue comes up specifically if your accounting runs through Xero. Chargebee handles invoicing inside its own system and pushes data back to Xero, but what arrives is typically a summarised sync rather than itemised invoices. If your accountant works in Xero, they'll start noticing gaps in the data before long.
The alternatives
Recurly
Best for: Mid-market SaaS with high transaction volumes or heavy dunning needs
Recurly is the most direct Chargebee alternative for companies that need a full billing platform. It handles subscriptions, invoicing, revenue recognition, and dunning at scale, and the pricing model is different: plans start around $249/month with no percentage-of-revenue fee on top. If your billing volume is high enough that the 0.75% Chargebee takes on Starter adds up to more than Recurly's base cost, the economics shift in Recurly's favour.
Where Recurly has a clear edge is failed payment recovery. The platform has invested heavily in dunning logic, and companies with large subscriber bases or high card-decline rates often find the revenue recovery covers the platform cost on its own. The reporting and analytics tooling is also more mature.
The setup complexity is similar to Chargebee's. If you're moving because Chargebee felt too involved, Recurly won't feel meaningfully simpler. And if the Xero integration was the issue, it has the same limitation: invoicing lives in Recurly, not in Xero.
Stripe Billing
Best for: Companies already deep in the Stripe ecosystem
If you're already using Stripe for payment processing, adding Stripe Billing is the path of least resistance. It handles recurring subscriptions, invoicing, proration, and dunning reasonably well, and the setup is relatively straightforward if you're technical.
The main limitation is accounting integration. Stripe sends transaction data to Xero via bank feed rather than creating proper invoices, so your accounting records don't reflect the full detail of what's been billed. More complete integrations are possible through third-party connectors, but they add complexity and ongoing cost. Stripe also charges transaction fees on payments processed through the platform, including bank transfers where the processing work is minimal.
Stripe Billing makes the most sense when you want to keep your payment and billing infrastructure with a single vendor and your accounting setup has some flexibility.
Saasybill
Best for: SaaS companies with 20 to 300 customers using Xero
Saasybill takes a different approach to subscription billing. Rather than running invoicing through its own system, it sits alongside Xero and handles the subscription logic that Xero can't do natively. You define your pricing plans, attach subscriptions to customers, and invoices are created directly inside Xero at each renewal. Proration, mid-cycle upgrades, credit notes: all of it lands in Xero as proper invoices, the same way they would if you'd created them manually.
This matters if your accounting runs through Xero. Xero stays the source of truth. Your accountant doesn't need to learn a new system or reconcile data from a second platform. There's no summarised sync to manage and no revenue data living outside Xero.
There are no transaction fees. Flat monthly subscription, nothing else.
The trade-off is scope. Saasybill handles recurring subscription billing well but it's not a full billing platform. If you genuinely need global tax compliance, multi-entity support, or complex contract billing, it's not the right fit. If those aren't part of how your business operates, you're not giving anything up by choosing it over Chargebee.
How they compare
| Recurly | Stripe Billing | Saasybill | |
|---|---|---|---|
| Invoices created in Xero | No | No | Yes |
| Xero data quality | Summarised sync | Bank feed / limited | Full, itemised |
| Transaction fees | No | Yes | No |
| Starting price | ~$249/month | % of revenue | $75/month |
| Setup complexity | Medium to high | Low to medium | Low |
| Best for | High volume, mid-market | Stripe-first companies | 20-300 customers on Xero |
Which one to choose
If you need a direct Chargebee replacement with comparable feature depth and you're processing high billing volumes, Recurly is the most natural alternative. The pricing model is more predictable and the dunning tooling is stronger.
If you're already on Stripe and want to consolidate your payment and billing infrastructure, Stripe Billing is the simplest transition, as long as you're comfortable with the accounting integration limitations.
If you're a SaaS company on Xero and billing complexity isn't actually the problem, Saasybill is worth a look. It solves the automation problem without pulling invoicing out of Xero, and the pricing doesn't scale with your revenue. Most Chargebee customers in this segment are paying for features they'll never use.
